Key takeaways
- Use a straightforward reading order with familiar section headings.
- Keep essential information as text in the document body.
- Submit the file format requested by the employer.
- Inspect the exported file rather than only the editable original.
- Review application fields after the portal imports your resume.
Your resume can look polished on screen and still be awkward to read when its text is extracted. Contact details may disappear into a header. Two columns may become a confusing sequence of unrelated lines.
Formatting for compatibility means making the information easy to follow. It also means checking the file you actually submit.
Start with a simple reading order
Use a single main column as a cautious default. Put your name and contact details in the document body. Follow with clearly labelled sections such as Work Experience, Education and Skills.
Concordia University recommends a straightforward layout and avoiding tables, text boxes and important information in headers or footers. This is practical risk reduction, not proof that every system fails on every complex design.
Keep employer names, job titles and employment dates together. A reader should not need to guess which dates belong to which position.

Use design to clarify the hierarchy
Choose a familiar, readable font and a comfortable size. Use the same treatment for headings throughout. Bold can help identify a job title or section; it loses value when almost everything is bold.
Use ordinary bullets for experience statements. Keep spacing consistent between positions. Avoid presenting essential skills as logos, star ratings or progress bars. “Excel: four stars” does not tell an employer what you can do.
An international career history may include unfamiliar organisation names. Add a short, accurate description where needed, such as the organisation’s industry. Keep that description as real text rather than an image.
Check whether your layout still works when a job title or qualification wraps onto a second line. A template that works for a short sample may not work for your actual content.
Canadian Expert Insight
Your next opportunity may not come from having the perfect Canadian Style Resume. It may come from making it easy for someone to see what you can do.
Canadian jobseekers come from different industries, communities, and stages of life. Some are starting out. Others are changing careers, returning to work, or bringing experience from another country. Wherever you are starting, focus on the value you can offer now.
Follow the employer’s file instructions
If an employer requests DOCX, submit DOCX. If PDF is required, submit PDF. A portal’s accepted file types are the first constraint. Keep an editable master copy and export a submission copy for each application.
A PDF should contain selectable text rather than scanned page images. A Word document should open without missing fonts, broken alignment or unexpected blank pages. Neither extension alone guarantees accurate parsing.
If no preference is stated, use a supported format and inspect the result carefully. Guidance varies across career services and software environments, so avoid treating one file type as universally correct.
Use a recognisable filename, such as Firstname-Lastname-Resume.docx. Remove old employer names or draft labels from the filename before uploading.

Test the exported file and application fields
Open your final document. Select and copy its text into a plain-text editor. Check the reading order, headings, dates, contact details and special characters. This can reveal problems; it does not reproduce the employer’s ATS or certify compatibility.
When a portal fills fields from your resume, review them. Correct misplaced employers, missing dates and incomplete qualifications before submission. A visually correct attachment does not guarantee that every form field is correct.
Keep keyword relevance as a separate check. The layout carries the information; the content must still explain your fit. Read How to Match Your Canadian Resume to the Job Description for that step.
Save the exact version submitted so you can prepare for an interview using the same information.
FAQs
Is PDF always better than Word?
No. Follow the employer’s instructions and the portal’s supported formats. Inspect whichever file you submit. File type alone cannot guarantee that information will be extracted accurately.
Will two columns always cause rejection?
No universal rule establishes that. However, complex layouts can create reading-order problems. A single column is a practical default when reliable extraction matters.
Can I use colour?
A restrained accent may be fine if contrast remains clear. Do not rely on colour alone to communicate essential information. Check the document in greyscale too.
Does copying text into Notepad prove ATS compatibility?
No. It is a useful basic check for extraction and reading order. It cannot predict every employer’s software, configuration or selection process.
